Overseas exhibition contractor registration and insurance verification: a practical guide A booth construction contract and organiser registration are separate steps. Check contractor and subcontractor requirements, insurance coverage and approval status together. Author: EVENTODIT Editorial Team Published: 2026-10-28T00:09:59.179875Z Updated: 2026-10-31T11:07:15+09:00 Original URL: https://eventodit.com/en/stories/overseas-exhibition-appointed-contractor-insurance-document.html Practical summary Key decision: Before move-in, confirm registration requirements for contractors and subcontractors, insurance terms and the organiser’s processing status. Responsible roles / intended readers: Overseas exhibitors, PCOs and people commissioning stand construction Record / next task: Contractor work dates, registration and insurance documents, processing status, correction owner and deadline Basis of information: Direct review of NAMM Show exhibitor-appointed contractor guidance and IAAPA Expo Europe 2026 non-official contractor guidance. Roles and records are editorial applications. Editorial review: 2026-10-28 Part 1. Exhibitor and exhibition lead **"A signed booth contract does not complete registration. Check subcontractors and organiser exceptions first."** - Separate the contract from organiser registration: Signing a booth construction contract does not automatically register the contractor with the organiser. Track the show’s contractor rules, submission deadlines and approval conditions as a separate required workstream. - List contractors and subcontractors and check exceptions: List every firm working on design, installation, dismantling, audiovisual services or furniture, including the lead contractor and its subcontractors. NAMM exempts exhibitors using its official general contractor Freeman for their booth build from the EAC form; that is a show-specific rule. Read the organiser’s original guidance rather than assuming the same exception applies elsewhere. - Identify the official submission route and responsible party: Confirm whether the exhibitor or contractor must submit each registration. NAMM has separate input routes for exhibitors and contractors, a status check and a route to resubmit rejected documents. Identify the applicable routes before work begins. - Recheck changes in contractor or schedule: If a contractor changes or the on-site schedule is extended or shortened, review whether the existing insurance and registration cover the revised conditions. Hold the affected work until unclear status is confirmed with the organiser and record the schedule impact. | Responsible party | Task | Evidence of completion | | --- | --- | --- | | Exhibitor | Confirm contractors, subcontractors and on-site dates | Submission list and schedule | | Contractor and insurer | Prepare documents against the show requirements | Insurer confirmation and required documents | | Exhibitor or person designated by the organiser | Register and submit documents | Receipt and outstanding-document status | | Exhibitor’s on-site lead | Check approval and required documents to carry | Organiser approval or follow-up instructions | This division of work is an EVENTODIT example based on public guidance. Follow the specific show’s submission process. Part 2. Booth contractor, partners and insurance lead **"Do not check insurance in name only. Compare additional insured parties and the entire installation and dismantling period with the original requirements."** - Prepare evidence against the organiser’s requirements: Send the insurer the organiser’s original insurance requirements. Compare the company name, on-site dates, types of insurance, limits, additional insured parties and any required forms; possessing a policy alone is not enough. - Check the entire work period: Coverage must include installation and dismantling as well as show days. For the specified 2027 NAMM Show, the required coverage period is 22 January–2 February 2027 and the contractor form deadline is 1 December 2026. A name on a certificate alone does not establish coverage; confirm compliance with the insurer and organiser. - Assign responsibility for rejected documents: Designate someone to arrange corrections, obtain revised documents and upload them if the organiser rejects an insurance certificate. Share the correction request and deadline with the exhibitor so that move-in is not delayed. - Do not reuse another show’s conditions: Limits, coverage and registration deadlines for NAMM or IAAPA are examples for those events, not universal rules or Korean legal standards. Check the latest original instructions for the actual show. Part 3. Venue operations and on-site acceptance **"A receipt is not final approval. Resolve unapproved status before move-in and confirm the documents required on site."** - Distinguish submission from final approval: An upload confirmation does not prove permission to work on the show floor. Follow the organiser’s status and any subsequent instructions through to the required decision. - Resolve access risks before move-in: IAAPA Expo Europe 2026 stated that non-official contractors could not work on the show floor without submitting their contact information, insurance certificate and agreement to the terms. Confirm the specific organiser’s approval and access conditions separately. Assign an owner and deadline to missing documents and obtain any required approval before the contractor enters. - Retain required on-site evidence: Determine which documents the organiser requires on site, such as an original insurance certificate or approval confirmation, and ensure the on-site lead carries the required originals or copies. NAMM specifically requires the original insurance certificate on site. - Hold work when the status is unclear: Do not proceed with move-in or construction while coverage or registration status is uncertain. Hold affected preparation until the organiser and insurer clarify it and communicate the schedule risk to the exhibition lead. Practical workflow · Sequence Review the contractor documents and registration status 1. Identify submissions The exhibitor confirms contractors, subcontractors and work dates. 2. Compare insurance conditions The contractor and insurer compare documents with organiser requirements. 3. Submit and check status The designated submitter registers; the exhibitor checks approval or follow-up. Note: EVENTODIT application. Follow the specific show’s submission and approval conditions. Use the form for the next handover Use the [External contractor and insurance approval](/en/templates/contractor-insurance-approval.html) for the records described here. The XLSX contains Blank, Example and Instructions sheets. Write your event in Blank; the fictional example is a guide to what to enter. Confirm each contractor’s work, registration/exemption and full work dates. Compare type, limit, additional insured and dates with requirements and insurer advice. Registration sends receipt, corrections and approval evidence to the exhibitor site lead. Contractors report actual firm/date changes for any required insurance and registration review. **Final check before use:** Before contracting and moving in the overseas booth, cross-check the registration list for contractors and subcontractors, the organiser’s insurance requirements, additional insured parties and coverage of the full work period, and the final work approval status. Application conditions Follow the specific event organiser’s current instructions and insurer confirmation. NAMM and IAAPA requirements are examples for those shows. Unconfirmed information No specific contractor’s coverage or organiser approval was verified; the overseas show requirements are not generalised into Korean legal requirements.
