- Use this for
- Prepare from the award and agreement and update through reporting, settlement and payment confirmation.
When to use it
Prepare from the award and agreement and update through reporting, settlement and payment confirmation.
Deadlines and eligibility in examples are fictional. Check the actual agreement and current guidance; receipt or an invoice does not establish payment or eligibility approval.
Start with the guide: Prepare grant reporting, settlement and post-submission checksFill in the template step by step
When to use it
Use after confirming award terms and while handing over evidence, submissions, corrections and payment status.
What to have ready
- Award decision, agreement, current guidance and approved changes
- Contracts, invoices, transfers and result/output evidence
- Submitted versions, receipts, correction requests, review and payment notices
Reconcile approved, contracted and paid amounts by award/cost ID; leave payment unknown without evidence.
Check grant/own contributions, tax, double claiming and required evidence against the agreement.
Record sending, receipt, correction, review and grant receipt from separate evidence rather than an assumed sequence.
Keep originals, versions, deadlines and new receipt confirmations for each request; never re-add a follow-up row as a second cost.
