Event PDF Checks and Publication Approval
Record the PDF to publish alongside automated reports and manual reading-order and keyboard checks. Recheck each newly exported PDF instead of carrying over the previous file’s results.
A check record telling the upload owner which files may be published and which need replacement or remain on hold.

- Use this for
- Record one check per row for a specific PDF. Before approving the whole file, review every row for that version and compare a fresh download of the published copy.
When to use it
Record one check per row for a specific PDF. Before approving the whole file, review every row for that version and compare a fresh download of the published copy.
These test records are fictional. An automated pass or review of selected pages does not establish full accessibility. Record the tools, environment and parts not tested.

When to use it
Use before first publishing attendee information and after exporting a PDF with revised schedules, maps or links.
What to have ready
- Source and publication-candidate filenames and versions
- Automated report, tools and test-environment record
- Confirmed programme, arrival route, link destinations and approver
Identify the exact PDF filename and version. Record each page, tag or link check in its own row.
Separate automated passes, failures and skipped items from manual checks, and state what was actually examined.
Check time-title reading order, map instructions and tab navigation against confirmed information. Assign a correction owner and deadline.
After editing the source, test the new PDF. Resolve all holds, then download the uploaded copy and compare it with the approved file.

Sources used to develop this template
EVENTODIT created this template using the working methods described in the public sources below. It is not an official form and has not been reviewed or approved by those organisations.
- Adobe · Create and verify PDF accessibility (Acrobat Pro)
Adapted distinct automated states and rechecking after edits into evidence fields. This does not claim software testing or complete conformance.
- W3C · PDF3: Correct tab and reading order
Adapted separate checks for meaningful reading sequence and interactive focus order. The worked inspection records are original fictional examples.
- W3C · PDF1: Text alternatives to images
Adapted a distinction between an alternative being present and conveying meaning. Map routes and test results are fictional.
