Use this for
Use after identifying audience needs to review the event objective and operating constraints and hand conditions to delivery teams. This is not a capacity or waiting-list register.

When to use it

Use after identifying audience needs to review the event objective and operating constraints and hand conditions to delivery teams. This is not a capacity or waiting-list register.

Distinguish past enquiries from direct responses by current attendees. Confirmed means the preparation conditions are agreed, not that they worked at the event. One confirmed condition does not confirm the whole event. Record event-day results, checker, time and evidence separately. No automatic scoring, voting or fulfilment calculation is provided.

Start with the guide: Evidence for each group turns participant needs into operating conditions

Fill in the template step by step

When to use it

Start after listing audience roles and existing evidence, confirm needs directly, then update the record after programme, venue and information teams review the conditions. The example is a fictional B2B practice forum on 10 December 2026. All times are Korea Standard Time.

What to have ready

  • Event objective, audience roles, event date and operating constraints
  • Role-based interviews, past-event inquiries and registration responses with source IDs and check dates
  • Replies from programme, venue and remote-participation owners, with handover document versions
  1. Record roles and possible overlap. Write the need separately from the proposed solution.

  2. Identify evidence and check dates; distinguish direct accounts, previous records and unconfirmed assumptions.

  3. Review importance—essential to participation, directly supporting the objective or optional improvement—and time, space and staffing conflicts separately. Do not decide automatically by score.

  4. Specify a testable operating condition and how to check fulfilment, with an owner and deadline.

  5. Record confirmed, under-review or held status and the reason. Attach an owner, next action and deadline to outstanding conditions.

  6. Hand over conditions and outstanding issues with document versions and recipients; compare actual wording, times and rooms after changes.

  • Each need identifies the audience, evidence and confirmation state separately from the solution.
  • Operating conditions and check methods link to importance and conflict handling.
  • Decision scope, reasons for review or hold, owners, deadlines and handover documents remain visible; event-day verification results are kept in a separate record.

What to pass to the next person

The Planning lead sends the conditions record and evidence summary to programme, venue and registration owners. Each team records its own reply; do not publish a promise of provision before outstanding conditions are checked.

Check before using this template

This register does not automatically assess representativeness, accessibility compliance, budget approval or safety.
