Event options comparison, decision and handover register

Compare options for the same people, offer and period. Separate external payments from staff time and expected benefits from evidence, then record permitted work, holds and document handover.

Use after planning, schedule and budget review to compare how to serve the same audience and ask the authorised decision-maker to choose. XLSX contains options and decision/handover registers. CSV contains only the main options table.

When to use it

Use after planning, schedule and budget review to compare how to serve the same audience and ask the authorised decision-maker to choose. XLSX contains options and decision/handover registers. CSV contains only the main options table.

Planned invitees are not actual attendees or venue capacity. Splitting the same 60 people into two sessions differs from replacing them with other people. Selection applies only within its recorded scope; signatures, prepayment and participation-confirmation notices stay on hold until separately approved.

When to use it

Use when comparing ways to deliver the same objective. Recheck the comparison and decision when the audience, quotation, times or funding responsibility changes.

What to have ready

  • Common objective, audience list, offer and comparison period from preparation through follow-up delivery
  • Session allocations, participation/access conditions, staffing and preparation-deadline records
  • Quotations with matching inclusions/exclusions and evidence for internal staff time
  • Decision-maker authority, original decision, applicable version and recipient document-comparison replies

Records included in the XLSX

  • Event options comparison, decision and handover register: Blank / Example (12 fields)
  • Decision scope and document handover: Decision-handover input / Decision-handover example (12 fields)

CSV includes only the main blank table. Use XLSX for all linked records.

  1. In XLSX, use Blank for options and Decision-handover input for permitted work, holds and transmission/recipient comparisons. Each input table has 24 blank rows and separate fictional examples. CSV contains only the main options table.

  2. Separate unique invitees, session count and allocations per session. A’s second-session allocation is blank because it is not applicable; column G explains this. Do not use planned invitees as actual attendance or capacity.

  3. First agree on the same audience, offer and comparison period. Do not invent a detailed programme, year or exact B session times missing from the examples.

  4. Enter external total payments as numbers in KRW and internal time as numbers in hours. Compare actual tax/inclusion bases and do not convert staff time into money without evidence.

  5. Separate expected benefits from evidence actually checked. Willingness to attend, activity during the event and later effects are different states. Also separate an unconfirmed condition from an explicit refusal.

  6. In Decision-handover input, record selection grounds, maximum amount, audience, format and remaining uncertainty, along with review allowed now and signatures/prepayment/confirmation notices kept on hold. Selection does not bypass separate approval.

  7. Keep transmission, simple receipt and document-comparison replies in separate rows. Check that recipients’ contract, operations and audience-information documents preserve the same people, amount, times and holds, and link versions and reply evidence.

  • Each option records the same comparison audience, offer, period and session-allocation basis.
  • External cost, staff time, expected benefits, evidence and unconfirmed conditions are distinct.
  • Selection grounds, permitted/held scope and owners/deadlines for remaining checks are recorded.
  • Recipient document-comparison replies are separated from simple receipt.

What to pass to the next person

The planner sends the common comparison basis, option quotations/evidence, original decision/applicable version and holds to contract, operations and audience-information staff together. Recipients reply with the versions, changes and locations that retain the same selection and holds in their documents.

Check before using this template

No automatic scoring, optimal-option selection, effect estimate or contract approval is provided. The article does not supply a separate tax breakdown for the example’s external payments; confirm the actual basis. A late B reply does not automatically replace A. CSV excludes the decision/handover sheet, status lists, time formatting and print layout.
