Example deadlines, prices and change terms are fictional. The actual contract determines billing quantities; catering staff must confirm dietary provision.

When to use it

Before the catering guarantee deadline and when the final invoice arrives.

What to have ready

  • Meal requests and crew meal roster
  • Signed BEO, quotation and change conditions
  • Supplier acknowledgement, service counts and invoice
  1. Count requests for each meal service and check whether special meals are already included in the total.

  2. Send the approved quantity before the contract deadline and keep the supplier’s acknowledgement.

  3. Before adding meals to the confirmed order, obtain both supply confirmation and approval for the extra cost.

  4. After the event, compare guaranteed, served and billed quantities. Attach the contractual explanation for each difference.
