Use when surveying stationary viewing, movement, public passage and access conditions for a street or park performance. Keep equipment delivery, power, anchoring and unloading separate and pass them to the responsible staff.

When to use it

Use when surveying stationary viewing, movement, public passage and access conditions for a street or park performance. Keep equipment delivery, power, anchoring and unloading separate and pass them to the responsible staff.

Matching dimensions or completing a survey record does not establish use permission, safety approval or capacity. Separate the scope checked, rechecks after revision and holds, and retain the actual decision-maker’s reply. Do not invent years, survey times, photo IDs or handover results absent from the article.

Start with the guide: For a moving performance, check stopping points and walking routes separately

When to use it

Complete with performers, site operations and venue staff during the route survey. Update adjacent sections when props, audience direction or temporary installations change.

What to have ready

  • Current numbered S/M drawing, scene sequence, planned operating times and zones
  • Performers’ actual movements, deployed prop dimensions and functions the audience needs
  • Site photos and directions, measurement endpoints/units/times, venue restrictions and replies
  • Records for unobserved periods and temporary installations, review owners and reply deadlines

Records included in the XLSX

  • Walking performance stop and route survey register: Blank / Example (12 fields)
  • Changes, adjacent-section rechecks and handover: Changes-recheck input / Changes-recheck example (12 fields)

CSV includes only the main blank table. Use XLSX for all linked records.

  1. Use Blank for observations by stop/section and Changes-recheck input for revisions, holds and document handover. Each input table has 24 blank rows and a separate fictional example. CSV contains only the stop/route survey table.

  2. Use S for stops and M for moving sections. Record start/end/return paths and adjacent links. Consider audience gathering places and continuing public passage together.

  3. Enter drawing width, actual passage width and deployed prop width separately as numbers in metres. Leave unknown values blank; record endpoints, photo ID/direction/time and further records needed.

  4. Check front/rear/seated viewing, required access functions, steps/slopes/gaps/projections and passage during the performance period. Record checks with affected people and responsible staff; do not generalise one observation to the whole event day.

  5. Keep observations separate from the actual decision-maker’s use reply. For each hold record the required reply, revised documents, recheck result, owner and deadline. Confirm the actual year before using the year-unspecified example deadlines.

  6. In Changes-recheck input connect affected adjacent sections and continuing holds. Record document handover as checked only after recipients compare the same drawing, photos and running notes and reply about location/status.

  • Stops and moving sections are distinguished, with observation timing, measurement evidence and missing records identified.
  • Scenes needing recheck after revision are connected to work held, owners and deadlines.
  • Current drawing/photo/running-note versions are distinguished from recipients’ content-comparison status.

What to pass to the next person

The survey lead passes the numbered drawing, original photos/measurement evidence, use-scope replies and hold list to site operations, venue staff and performers together. Recipients compare locations and revisions/holds in their own documents and reply. A planned handover or sent email alone does not complete recipient comparison.

Check before using this template

The register does not automatically determine structure, loading, capacity, safety or use permission. Permission to move a flowerpot does not release other sections’ holds. Confirm actual support methods with affected people, performers and responsible staff; follow agreed stopping/reporting procedures for site risks. CSV excludes supplementary sheets, dropdowns, time formatting and print layout.
