A B2B exhibition’s outcomes begin with meaningful meetings between Exhibitors and genuine buyers. Hosted Buyer programmes, in which organisers support flights and accommodation to invite key buyers, are important drivers of the global MICE industry, including IMEX.
Yet teams arriving with an impressive invitation list and a fully booked advance schedule can be surprised to find empty meeting desks. Why do buyers invited at considerable expense fail to attend their appointments? This often reflects shortcomings in how the business-matching system handles Choice between buyers and exhibitors, and in back-end schedule management, rather than a problem with an individual buyer’s diligence.
1. Respect Two-way Choice: a schedule without acceptance is easily cancelled
To increase matching Quantity, organisers sometimes use system algorithms to Auto-assign exhibitor meetings into empty slots in buyers’ calendars.
- The limits of one-sided matching: appointments requested by an exhibitor and confirmed without an acceptance step, or allocated by organisers simply to fill a quota, are most likely to become No-shows on site. Buyers find it difficult to give time to meetings that do not fit their business objectives.
- Introduce Mutual Consent logic: to improve the rate of meetings actually held, the booking system must be based on Mutual Consent. Configure it so a request is confirmed only after the other party gives final Acceptance. The apparent total of scheduled appointments may decrease slightly, but actual on-site Attendance and satisfaction rise dramatically.
2. Balance benefits and responsibilities: clear guidance supports participation
A Hosted Buyer programme supporting flights and living expenses is both the organiser’s Hospitality and a mutual commitment to active business exchange.
- Advance Quotas and rules of mutual respect: rather than vague advice to come and browse freely, it is helpful at the invitation stage to set a clear quota, such as at least six pre-booked one-to-one meetings per day. Politely but clearly explain that missing a meeting without advance cancellation may restrict the following year’s invitation, encouraging mutually respectful business manners.
- Flexible schedule Cut-off times: unexpected travel delays and schedule changes occur frequently on site. Allow either party a Buffer to cancel or change appointments without penalty through the dedicated app until a set time before the meeting, for example one hour. This supports considerate rescheduling rather than unexplained absences.
3. Measure Quality: feedback beyond exchanging business cards
Business is not complete simply because two people sat opposite one another at a meeting desk.
- Activate an on-site Feedback Loop: immediately after a meeting, a simple pop-up survey in both the exhibitor’s and buyer’s smartphone apps is recommended, asking “Did today’s meeting fit your business objectives?” and “Would you like to arrange a Follow-up meeting?” As this evaluation data accumulates, it becomes an excellent measure for identifying genuine buyers who generate substantive transactions at the next event.
4. A four-stage protocol for Hosted Buyer operations
The following four-stage criteria offer the planning team a reference for improving substantive matching outcomes and Attendance relative to the cost invested.
| Stage | Work criteria |
|---|---|
| [Stage 1: Configure a Mutual Opt-in system] | Design the matching platform so only appointments that have passed through a two-way request-and-accept process enter the confirmed schedule, rather than one-sided assignments. |
| [Stage 2: Communicate clear guidance] | When sending invitations, explain minimum meeting targets and the rules for changing/cancelling appointments, and obtain agreement in advance. |
| [Stage 3: Monitor on-site Attendance in real time] | Use badge scanners at meeting booths or entry gates to check on a dashboard whether scheduled meetings are proceeding normally. |
| [Stage 4: A friendly reminder Alert system] | During the event, politely encourage buyers below their target meeting count to participate in the remaining schedule through courteous message reminders or face-to-face guidance. |
A planner’s note: genuine Hospitality shines within well-designed rules
Explaining rules and obligations to honoured guests who have travelled far can feel somewhat uncomfortable for planners. Yet the true purpose of a Hosted programme is to give exhibitors and buyers the best business opportunities without wasting one another’s time.
Being forced to sit opposite someone in a meeting room when the two parties’ needs do not match is tiring for both. Excellent B2B planning begins, before preparing a banquet, with designing a precise, reasonable matching system that helps participants meet genuinely meaningful partners. Warm Hospitality works best on clear rules that show consideration for one another.
