- Use this for
- Use when reviewing event scale or deposits and whenever funding or payment timing changes.
When to use it
Use when reviewing event scale or deposits and whenever funding or payment timing changes.
Allocated organisational budgets and committed or discussed sponsorship are not actual receipts. Keep unknown amounts blank and enter zero only when no movement or cost has been verified.

When to use it
Before event-scale, contract or payment decisions and after funding/payment changes.
What to have ready
- Verified opening event cash and account/use restrictions
- Bank movements, deposit/balance dates and payment evidence
- Funding commitments/discussions and unknown or conditional costs
Have finance verify opening available cash without counting existing funds again as receipts.
Enter only actual receipts and payments as numbers and link evidence and check time.
Record unreceived commitments, discussions and future payments separately with dates and conditions.
Reconcile calculated actual cash to evidence and send unknown costs, funding gaps and options to the decision-maker.
What the workbook can calculate
- Actual opening balance + actual receipts − actual payments; unreceived funds are excluded.
- Unknown payments leave the result blank; a verified zero remains zero.
- Evidence, owner, deadline and duplicate-ID checks support reconciliation.
Enter your actual values in the Calculation sheet. The Calc example sheet uses a fictional scenario separate from the worked example in the records sheet. Formulas cover the 20 prepared rows, so extend their references if you add rows. Empty cells are treated as missing inputs. A calculation does not authorise an order, confirm safety or approve a payment; those decisions still need the responsible person’s approval.
