When to use it

Prepare with load-out plans and update through recovery, packing, collection and return.

Audience clearance, area separation and specialist power or structural checks must precede the relevant work. Listing an item does not prove carrier collection.

Start with the guide: Before load-out, check work areas and audience routes

Fill in the template step by step

When to use it

Prepare from supplier load-out lists and update each item at recovery and handover.

What to have ready

  • Pre-event asset and rental receipt lists, owners and destinations
  • Venue area release, permitted hours and specialist work plans
  • Packing, collection and carrier receipts and before/after photographs
  1. Verify audience-route separation and work release with the venue authority.

  2. Assign asset IDs and enter expected and recovered quantities separately.

  3. Record loss, damage, packing and actual collection with evidence IDs.

  4. Track venue return separately and hand remaining searches, repairs and uncollected items to named owners with deadlines.

Check your completed template

  • Area and specialist release evidence is recorded before work.
  • Expected and recovered quantities, differences, owners and destinations have been compared.
  • Carrier receipt and venue-return open items are recorded separately.

What to pass to the next person

The asset lead passes recovery and collection evidence and remaining items to operations. The venue-return owner separately receives condition, repair and cleaning issues.

Check before using this template

Matching quantities does not establish equipment function or venue restoration. This log does not replace electrical/structural work instructions or official carrier paperwork.
