The register does not determine which permissions are legally required. Example deadlines are fictional; check real starting points and cutoffs with the authority or venue.

Fill in the template step by step

When to use it

From the first authority and venue enquiries through change-approval verification.

What to have ready

  • Brief covering activities, site, people and setup/load-out
  • Written authority and venue procedures, documents and deadline rules
  • Submission copies, receipts, approval documents and changed layouts
  1. Give authority and venue procedures separate IDs and check applicability first.

  2. Record the actual submitter, document version, deadline starting point and evidence.

  3. Update each status from documents and actual times, distinguishing receipt from approval.

  4. Check the effect of changes on the existing scope and send the new confirmed conditions to the site team.

  • Applicability and enquiry/submission owners are recorded for each procedure.
  • Receipt is distinct from approval and its conditions and scope.
  • Change checks, deadlines and site handover are traceable.

What to pass to the next person

The event lead sends approval documents, applicable drawings and conditions to site and construction leads. Hand unresolved procedures to named owners with deadlines.

Check before using this template

This is not an exhaustive list of legal requirements and does not replace filing or approval. Do not copy example deadlines or audience figures as general rules.
