When to use it

Prepare programme conditions and update at rehearsal, before starting and at session changes.

One passed item or a completed technical test is not overall start approval. Hold unmet essential conditions and prioritise emergency protection if immediate danger arises.

Start with the guide: Set operating conditions and responsibilities before a programme starts

Fill in the template step by step

When to use it

From agreeing prerequisites through owner checks and the final start or hold decision.

What to have ready

  • Programme schedule, venue, prerequisites and delegated decision-maker
  • Final files, live tests and access, venue and safety evidence
  • Action contacts, recheck timing and audience communication plan
  1. Create a row for each programme check with its owner and backup contact.

  2. Record actual findings and evidence and distinguish a repair report from a recheck.

  3. Assign action and recheck owners and deadlines; hold essential unmet conditions.

  4. After all checks are collected, the designated person records start/hold, time and reasons and confirms receipt by the teams.

  • Every essential item has a verifier, time, actual result and evidence.
  • Incomplete actions show owners, deadlines and rechecks.
  • Item passes are separate from the overall decision and its communication.

What to pass to the next person

Operations sends evidence and the start decision to show, venue, technical and audience-support leads. Hand changed conditions and open support/actions to the next session.

Check before using this template

Example lead times are not actual event requirements or common deadlines. The log does not replace qualified venue, safety or access confirmation or the actual show-start cue.
