Sports Day Participant Schedule Conflict Check
Turn team fixtures into each participant’s sequence of activities to find overlaps and insufficient transfer or preparation time. Fictional examples show a player replacement, a later call and reassignment of scoring duties.
A participant-by-participant record of conflicts, approved changes and who received the revised timetable.

- Use this for
- Use when a person joins several activities or also works as a presenter, scorer or other operator. Compare two consecutive activities for the same person in each row.
When to use it
Use when a person joins several activities or also works as a presenter, scorer or other operator. Compare two consecutive activities for the same person in each row.
A clash-free schedule does not establish safe participation or adequate recovery. Example transfer times are fictional site findings, not sport-specific recommendations.

When to use it
Complete after participants are confirmed; recheck when fixtures, players or operating duties change.
What to have ready
- Team and individual player lists, plus operating duties
- The time each person must report and the time they may leave each activity
- Observed transfer and preparation requirements between zones
Combine playing and operating duties under each participant ID in time order.
Record the call-to-release periods for consecutive activities and check overlap first.
If they do not overlap, compare the available gap with the time needed to travel and prepare.
Have the responsible lead approve changes to order, player or role, then give teams, callers and officials the same timetable version.
What the workbook can calculate
- Find overlapping call-to-release periods for the same participant.
- Calculate time until the next call and any transfer or preparation shortfall.
Enter your actual values in the Calculation sheet. The Calc example sheet uses a fictional scenario separate from the worked example in the records sheet. Formulas cover the 20 prepared rows, so extend their references if you add rows. Empty cells are treated as missing inputs. A calculation does not authorise an order, confirm safety or approve a payment; those decisions still need the responsible person’s approval.
