When to use it
Prepare with the final timetable and check readiness before each session transition.
What to have ready
- Required outputs, files and submission deadlines for the next session
- Actual transfer routes, timings and support needs
- Room, video and facilitator readiness records
List submission, transfer and assembly tasks separately from actual break time.
Have the facilitator check required materials. Distinguish unfinished participant work from operational errors.
Record room and playback readiness separately from participant assembly: who confirmed it, when, and how many expected and present or which groups are still missing.
Have the named decision-maker confirm the start or hold, then give all relevant teams the same revised time and timetable version.
